You: “Thanks so much for the great meeting. I’m looking forward to working with you!”

Prospective Client: “Me too! Let’s connect again next week to discuss some specific clients.”

You: “I’ll give you a call.”

Three weeks later, 3:00 am

You: shooting up in bed, realizing you never called this guy back and that you may have potentially missed out on some big tickets.

It’s happened to the best of us and we all know where the path of good intention leads.

But it doesn’t have to be like that. There are dozens of ways to remind yourself to follow up on important calls. Here are some of our favorites.

Outlook Reminders

Most everyone uses Outlook, so this is a natural fit because you know it will be open on your computers, phone and tablet.

The “Reminders” feature allows you to leave notes for yourself that will pop up at the date and time you set them to. You can even assign these tasks to other people so that they are the ones being reminded – great for internals and assistants.


Wunderlist is a great, cloud-based reminder app that allows you to create reminders that sync across all your devices. Individual tasks or entire lists can be assigned to others and you’ll get updates as they progress through their to-dos.


Zapier is a robust task and workflow management service. It may be more than you need, but it may also be exactly what you need.  Zapier will connect your unrelated apps (they currently service over 1,000) and allow you to create triggers to created automated workflows. Their home page gives the following example: “When I get a new Gmail, copy any attachments to Dropbox and alert me about the new file using Slack.”

Simple Calendar Solution

At ESA, our favorite reminder method is simply to use the calendars in our custom-designed databases. Using specified colors and audible reminders, we schedule reminders as we go. If one of your clients asks us to call back next week, we’ll add it to your calendar and assign ourselves to the task. If someone says, “Yes, have her call me when she’s in town,” we will set a reminder to put it on your list of things to-do when you arrive at your destination. We never put your reminders off and we do not clear them until we have completed them.
